Job Description

This role sits in the Planning Services branch and will provide for cohesive administrative and technical support within the Planning Services team of the City of Subiaco, whilst completing entry-level planning tasks. The candidate for the position must uphold and consistently demonstrate the City's values of SUBI - Supportive, United, Bold and Impactful. 

The key responsibilities of this role include:

  • Coordination and preparation of zoning (Orders & Requisitions) certificates.
  • Preparation of referral correspondence for development applications.
  • Preparation of general correspondence
  • Respond to customer requests for copies of planning approvals 
  • Maintenance of hard copy planning information at the front counter (eg. scheme text, application forms, information sheets, development guidelines).
  • Consolidation and maintenance of planning statistics for monthly reports and other purposes.
  • Assist in the preparation of annual reports.
  • Minute taking for meetings including Planning Services staff meetings, Design Review Panel (DRP) and others as required.
  • Maintenance of Planning databases and Excel spreadsheets.
  • Undertake information searches with the Records team and obtain archives when required.
  • Agenda Preparation (compiling of plans, notification letters, hard copy plans for elected members and public).
  • Preparation of memos and information for Council. 
  • Preparation of all determination notices and related correspondence arising from Council meetings and delegated decisions.
  • Preparation and processing of purchase orders and good receipts for invoicing that relates to Planning Services.
  • Attendance at Ordinary and Special Council Meetings as required. 
  • Assist with the review of Planning Services policies, processes and procedures in key service area. Identify practical productive improvements to the implementation and provision of Planning Services and certification services. Ensure all manuals, templates, check sheets, information sheets and forms are accurate and current. 
  • Regularly review, develop and update procedures and work flow practices to improve the effectiveness and efficiently of service delivery. This is to be done in conjunction with, and complement other branches of the City, including but not limited to Environmental Health, Building, Parks and Engineering.

Essential criteria:

  • Well-developed customer services and communications skills
  • Sound interpersonal and conflict resolution skills 
  • High level of organisational skills
  • Demonstrated ability to participate within a team environment and under pressure
  • Experience in a similar administrative role
  • Basic ability to interpret the relevant acts and legislation and associated technical document

Desirable:

  • Experience or qualifications in urban planning, local government administration or a related discipline.

Salary package:

In line with the City of Subiaco Inside Staff Industrial Agreement 2025, this position is classified as a Level 4. The salary range is $74,220.64 to $84,667.44 per annum, exclusive of superannuation
